Who owns it and who signs off

  • Name the person who signs off on what leaves the site.

  • List items owned by the landlord, other tenants, leasing companies or anyone else.

  • Mark items that are staying, or waiting for a decision, apart from items going.

  • Name who can add items to the list after it is agreed.

  • Name the site contact who checks each load on collection day.

List what is leaving

  • Group IT, other equipment, metals, cable, packaging, containers, stock and batteries. List furniture and the general clear-out too, so the whole site can be quoted.

  • Describe each group by type, condition, quantity and location. Estimates are fine.

  • Flag devices that may hold data and stock that must be destroyed.

  • Note what containers held before, and whether anything is left inside.

  • Photograph each group and the storage area, with no confidential information showing.

Check Materials we work with to see what we take.

What other contractors do

  • Name who does building work and any make-good for the lease.

  • Name who disconnects electrical equipment before collection.

  • Note when equipment, fixtures and panels will be ready to collect.

  • Flag lifting or dismantling that needs a qualified contractor.

  • Note anything that could push back the collection date if another trade runs late.

Batteries and solar panels must be removed by a qualified trade before collection.

Access and collection stages

  • Note dock bookings, gate access, inductions and escorts.

  • Check the route for stairs, lift sizes, steps and oversized items.

  • Confirm the loading point, lifting equipment and who runs it.

  • Choose one collection or several, with a contact for each.

  • Explain how items staying and live work areas will be kept apart.

Send photos of the route as well as the items.

Data and destruction

  • Say whether any drives must be wiped or destroyed, or any stock destroyed.

  • Say whether anyone needs to watch the destruction.

Check before sending

  • Attach the list, photos, access notes and contractor details.

  • Mark what is confirmed and what is an estimate or still open.

  • Note the timing and anything that must happen before collection.

See equipment retirement for the service, and the data destruction policy checklist if the job includes devices with data.
